Faq's
Where is the Phoenix located? We are located at 301 S. 3rd. St between Jackson & Webster.  One block east of Ninfa's.
How much parking is available? 183 parking slots are available in the parking lot, plus another 50 spaces on Webster and 3rd street.  There also adjacent parking lots which are usually available in the evening.
Are there hotels close by? Yes, there are several hotels within 2-3 blocks including the Hilton.
Are there restaurants close by? Yes, there are several restaurants within walking distance including Ninfa's Mexican restaurant, Cricket's bar & grill, Diamond Back's (an upscale steak house) and also Gratziano's (fine Italian dining).
Are alcoholic beverages allowed? Yes, but a licensed bartender must dispense the beverages. The bartender must be provided by a catering company who is on the list of approved caterers for the Phoenix Ballroom.
Anything else I need to know about having alcohol? Functions that include the serving of alcoholic beverages shall be conducted under the laws of the State of Texas and regulations of the Texas Alcoholic Beverage Commission. The Lessor will not be responsible for intoxicated guests. The Lessee will be held liable and be responsible for providing transportation for an intoxicated guest.
Can I use the caterer of my choice? Only caterers who are on our approved list will be allowed. Each caterer must provide the Phoenix with a copy of their food service license, health certificate, certificate of insurance, and copy of current liquor license. If you have a preferred caterer who is not on our list, we will work with you in communication with your caterer to see if they meet the criteria to be added to our list.
Can I bring in my own food? No, only licensed caterers can serve food in the Phoenix.
Who sets up the tables and chairs? Rental price of the Phoenix Ballroom includes the arranging of chairs and tables. Arrangement shall be discussed prior to event in order to satisfy the needs of the renter.
What size is the ballroom? 12,000 sq ft total, 10,000 sq ft excluding offices, restrooms, etc. Huge bathrooms!
How many stalls are in the women's restroom? Five stalls and four sinks as well as a makeup area, and sitting area.
The men's? Two stalls and three urinals as well as three sinks.
What type of chairs are included? White wooden chairs are included as pictured here.
Any other kind of chairs? Chiavari chairs are available for an additional fee. They are pictured here.
Is there a dedicated catering area? Yes, there is a 800 square foot caterer’s kitchen in the the facility, but no cooking equipment is provided. The catering area includes a commercial double glass-door refrigerator, a freezer, a 500 pound ice machine, and a large three compartment sink, hand washing sink, and even a cold water fountain. All of these amenities are available for the catering company.
How is the catering area accessed by the caterer? The catering area has a loading dock with double doors leading to the catering area.  This is the only access allowed for loading and unloading into the catering area.
Doe the Phoenix have a bar? Yes, there is a beautiful bar area completely set up for your catering company to use as a bar. A triple bar sink, and hand sink is included.
Do I have to have security for my event? All events require one security guard for the first 150 persons and two
security guards for groups larger than 150 persons. More details are included in our event contract.
Do you have audio equipment for use as a PA and or playing background music and or singing? We have an audio system which includes speakers, mics, and mixer. This is a small system and is intended for use as a PA, playing low volume background music, or for use for singing during a wedding ceremony.  It is not intended to be used for a disc jockey type setup.  The system is available for a small fee, and a Phoenix sound person must operate the equipment.
Do you have disc jockey services and equipment? Yes!  We have a "state of the art" computerized disc jockey sound system, including a disc jockey.  For prices, please refer to our prices page.
How do I reserve my  event? Please visit our calendar page to assure that the date is available, then download the contracts, fill them out, and return them when you have your initial appointment with us if you live locally, or if you live out of town, please call us to go over details before mailing us your contract and deposit.
What sort of payment do you accept? The Phoenix will gladly accept cash, checks, Master Card or Visa.
Whom do I make my checks payable to? Please make your check payable to the Phoenix Ballroom.
What sort of deposit do I make? Reservation deposit $1000.00 ($500.00 to be applied to bill and $500.00 for security
deposit)
What is the "security deposit" for? Lessee shall pay to Lessor $500.00, as a security deposit, upon execution of this Agreement. Payments made on credit card are subject to a 3% fee. The Lessee shall be responsible for any damages to the facility, parking lot, equipment, or other accessories, while using the facility. The deposit shall be held if proper cleaning is not done, if the keys to the facility are not returned, or if the premises and/or equipment is damaged in any way.
When is my deposit due? The reservation deposit ($500.00) and security deposit ($500.00) is due when the contract is signed, and your event date is reserved.
When is my full payment due? The balance of the rental fee and or other rented items or services must be paid no later than 14 days prior to the date of the scheduled event as reflected in in your event contract.
Is there a cancellation fee? Any reserved event which is cancelled will be subject to the following schedule of fees.  Cancellations six months prior to scheduled event will incur no fee.  Cancellations within six months of the event but more than three months before the event will be charge a $500.00 fee.  All events which are canceled less than three months before the event will be charged $1000.00.
